Microsoft 365 Information Governance and SharePoint Pilot Migration Services

The Town of Okotoks has issued Request for Proposals 26-124 for a contractor to provide comprehensive Microsoft 365 information governance modernization and SharePoint Online pilot migration services. The project is designed to align with the Town's 2027 ERP transformation and follows a phased approach. This includes a discovery and assessment phase to rationalize 14 TB of network files and 4 TB of Laserfiche data, the implementation of a sustainable governance framework using Microsoft Purview, and a pilot migration for two to four business areas. The engagement concludes with the development of a future-state migration roadmap and the delivery of extensive training and operational runbooks for administrators and end-users. The solution must adhere to a Microsoft 365 First requirement, leveraging existing E5 licensing and core Microsoft services. Proponents must submit their proposals via the Bidding Portal by October 1, 2026, including mandatory certification, pricing, and experience forms. Award selection is based on meeting all mandatory criteria and achieving the highest overall ranking through a weighted scoring process. The resulting contract will be project-based, requiring the consultant to maintain good standing with the Worker's Compensation Board of Alberta and adhere to professional standards of care and diligence. Invoices are to be submitted electronically and must reference a valid purchase order number.
