The Government of Canada will host a major event in Kananaskis, Alberta, from June 15-17, 2025. The Summit Management Office (SMO) is responsible for planning and delivering the logistical and operational elements of the event across multiple venues in Calgary, Kananaskis, Banff and surrounding areas. Over the course of the week, there will be a large contingent of foreign delegates, members of the press, security personnel and government employees stationed in different locations.
In order to accommodate the requirement of the event, Global Affairs Canada is seeking the services of a contractor to provide general decorator services, exhibit material rentals, a broad range of furniture, and associated logistics, to ensure a seamless and professional execution of event activities at the designated venues in Calgary, Kananaskis, and Banff. The contractor is also to provide services for the production and installation of banners and signage elements for multiple sites and functions tied to the event.
The Contractor will be required to lease and deliver all the required equipment and logistical services with the corresponding schedule at all sites related to the major event, including installation and dismantling, and be available to support modification and last-minute changes for the duration of the event. Contractor’s representatives shall be present in Calgary, Kananaskis and Banff between the period of May 26th to June 22nd, 2025.

Interested proponents must not contact any other employee of Global Affairs Canada (GAC), or other persons involved in this solicitation to discuss questions regarding the RFP. Non-compliance with this requirement during the solicitation period may, for that reason alone, result in disqualification of a proponent. All enquiries must be submitted in writing by e-mail to the Contracting Authority no later than 5 calendar days before the RFP closing date and time in order to be considered by GAC. Throughout the RFP bidding process, GAC shall endeavour to provide responses to inquiries (by the issuance of addenda) deemed relevant by GAC and received in writing by the Contracting Authority. Only information provided in addenda shall be an integral part of the RFP and any resulting contract. All addenda will be posted on Tender opportunities | CanadaBuys.

BASIS OF SELECTION:
Canada will make its selection based on the compliant offer with the highest combined rating of technical merit and price for award. The ratio will be 70% for the technical merit and 30% for the price.
