The Texas Workforce Commission is soliciting proposals for comprehensive conference services to support the 2027 Texas Conference for Employers. The project consists of four distinct events located in San Antonio, Horseshoe Bay, Arlington, and Houston. Requirements include providing conference meeting space, food and beverage services, audio visual equipment with on-site support, daily parking for attendees, and a block of guestrooms for approximately 20 staff members. Estimated attendance ranges from 350 to 600 people for the one-day conferences and 600 to 800 people for the two-day Houston event. Previous contracts for similar scopes have ranged from 25,000 to 50,000 dollars per event. The contract term begins upon execution and expires 60 days after the final conference, with firm and constant pricing required throughout the term. Award selection is based on best value, with 45 percent of the score weighted on the respondent's ability to perform services and 15 percent on past performance and experience. Respondents must meet minimum qualifications to avoid disqualification and must maintain significant insurance coverages, including a 25 million dollar umbrella liability policy and 1 million dollar commercial general liability. All event spaces must be ADA compliant. Proposals are due by October 7, 2026, and must be submitted through the TWC Procurement Portal.
